Operations & Programs Manager (Creative Business)

About the Role
I’m Georgia Clark—acclaimed author, coach, and founder of Generation Women—seeking an organized, proactive Operations & Programs Manager seeking a strategic, solutions-focused Operations & Programs Manager to help design and run the systems that power my creative business. You’ll be the operational anchor behind live events, retreats, and coaching programs that help women and non-binary writers tell their stories and build sustainable creative lives.
In addition to being an author, I run a live storytelling show, Kindred (writers' retreats in the Hudson Valley), private coaching, and I’m soon launching cohort-based coaching programs and online novel-writing courses. My work centers queer and women's voices, and I'm building something sustainable, joyful, and impactful.
Right now, I'm doing everything myself: scheduling, logistics, client communication, on-site producing, payment processing—all while trying to actually do the creative work (coaching, hosting, teaching). I need someone to take the operational load off my plate so I can focus on what I do best: creating world-class transformational experiences for writers.
This isn't just admin support. You'll be the backbone of a growing creative brand—the person who makes everything run smoothly so our clients have a seamless, professional experience from start to finish. You’ll manage the full lifecycle of our programs — from first inquiry to final thank-you — ensuring every creative experience runs smoothly and feels deeply personal. You’ll build systems, improve processes, and act as the key point of connection between me, our partners, and our creative community.
What You'll Do
Client & Community Management
Handle all client communication (inquiries, confirmations, reminders, follow-ups) via email
Send calendar invites, Zoom links, and prep materials for coaching sessions and retreats
Manage waitlists, applications, and registration for all programs (Kindred retreats, Studio cohort, novel-writing courses)
Track payments, send invoices, log expenses, and follow up on outstanding balances
Event & Program Logistics
Coordinate logistics for Generation Women live shows at Joe’s Pub — serve as liaison with the venue and performer contact; book photographer; handle basic customer service; update the website monthly with show links, copy, and photos; create templated images for social media (e.g., show flyer); and draft and send simple marketing emails promoting upcoming shows.
Coordinate Kindred (Hudson Valley in-person retreat) logistics (communicate with venue, chef, and attendees; manage travel details and arrival times)
Set up and manage Zoom meetings for all online coaching sessions
Create and maintain program schedules, timelines, and checklists
Support occasional special projects, including assisting with my June 2026 book launch (podcast scheduling, outreach coordination, logistics alongside our publicist and social media manager).
Systems & Operations
Maintain organized systems for client info, program schedules, and payments (Google Calendar, spreadsheets, CRM etc.)
Build templates for repetitive tasks (welcome emails, reminders, post-program follow-ups)
Troubleshoot tech issues (Zoom, website forms, payment processors)
Keep me on track with deadlines and upcoming launches
Coordinate with bookkeeper/accountant on monthly reporting and QuickBooks categories.
Light Production & Day-Of Support
Produce Generation Women live shows (ideally in person at Joe’s Pub in New York once a month; if not local, you’ll be trained remotely on the production process and provide pre- and post-show support).
Be available for light support during retreats and in-person events (check-ins, troubleshooting, not 24/7 on-call)
Optional
Opportunity to act as on-site producer for Hudson Valley retreats (flat stipend + free weekend stay; must have valid driver’s license and car access).
What You Won't Do
Social media strategy or complex content creation (the role includes basic templated image creation and posting/scheduling using provided assets or basic Canva skills, but not strategy or campaign design).
Creative content (I handle all coaching, curriculum design, and storytelling)
Graphic design or website building (unless you love doing it and want to)

Who You Are
Must-Haves:
Extremely organized. You live in Google Calendar. Deadlines don't stress you out—they excite you.
Proactive and detail-oriented. You see what needs to happen before I ask. You triple-check confirmations. You don't let things slip.
Great communicator. You write clear, warm, professional emails. You're responsive, unflappable, and reliable.
Tech-savvy. You're comfortable with Zoom, Google Workspace, Calendly, Squarespace, Quickbooks, Doodle, payment processors, etc. If you don't know a tool, you figure it out fast.
Self-directed. You don't need hand-holding. I'll give you templates and guidance, but you take ownership and run with it.
Aligned with the mission. You care about supporting women, queer folks, and creative communities. This work matters to you.
Nice-to-Haves:
Experience in event production, coaching programs, or creative businesses
Familiarity with the literary/arts world
Based in NYC (for in-person Joe’s Pub shows and occasional meetings) or able to commute easily to NYC once a month.
A sense of humor and a love of storytelling
The Vibe: You’re a natural organizer with a creative streak — the kind of person who builds color-coded timelines for fun but also loves being part of something meaningful. You thrive in motion, communicate with clarity, and take pride in running a beautiful, seamless process that makes big creative ideas come to life.
This isn’t an apprenticeship for writers; it’s a behind-the-scenes role for someone who loves organization, people, and creative logistics.
Logistics
Time Commitment: 15-20 hours/week (flexible schedule, some weeks lighter/heavier depending on program launches)
Pay: $30/hour (typically $1,800–$2,400/month based on 15–20 hours/week). Hours are consistent overall, with small seasonal peaks around retreats and program launches.
Work Style: Mostly remote, with occasional in-person work in NYC (monthly for Joe's Pub shows, plus 3-4x/year for Hudson Valley retreats if possible—but not required)
Start Date: ASAP (ideally early December 2025 or January 2025)
Contract: 1099 contractor to start, with potential to grow into a longer-term role as the business scales

About Me
I'm the internationally published author of seven novels, with my eighth dropping next year, and the founder of Generation Women, a monthly storytelling show and creative coaching practice. I've helped 600+ women and non-binary writers share their stories on stage, and I'm expanding into immersive retreats, 6-week storytelling accelerators, and two year-long novel-writing programs.
I'm queer, I'm a married mum of two little girls, I love building community, and I believe creative work should be sustainable, not soul-crushing. I'm looking for someone who shares that vision and wants to help me make it real.
